AS/400 Guide The AS/400 guide is an overview of the basic operational functions to run an AS/400 computer system. The guide s the IBM documentation shipped with the computer. Where information may conflict with the IBM documentation, this document will defer to the authority of the IBM documentation. s of the guide include individuals responsible for the day-to-day operations of the system.

General Concepts Computer Basics Computers, while different, have three main operations in common:

The order in which these operations take place is controlled by a set of instructions called a program or application. When you request a task to be accomplished by the computer, the set of instructions is given to the computer by the program or application. The most important program which controls the basic functions of the computer System is the Operating System. The AS/400 Operating System is called OS/400. In addition to controlling all devices connected to the computer, the Operating System controls the numerous requests made by all connected s. The Operating System programs allocate time and use of various requests and jobs being performed. The Operating System allows the computer to: Run more than one program at a time Handle printed output Schedule work Communicate with s The fourth operation that a computer System performs is Storage of information.

A computer System is simply a few components (input devices, processor, output devices, and storage devices) being controlled by an Operating System.

AS/400 Operating System The OS/400 Operating System provides the tools you will use to run the AS/400 hardware System. It allows you to run multiple jobs regardless of any other programs running at the same time. The major functions of the OS/400 program are: Control Language is the set of commands used to talk with the computer. Data Management allows the to define and use data files. Work Management controls many jobs, including jobs run by a single and jobs run by other s. Programmer Services provide for online program development and testing. System Operator Services provide a menu for easy access to frequently used operator functions. Communication allow AS/400 System to communicate with other types of systems as well as other AS/400 Systems. Security protects the data. PC allows personal computers to be attached to AS/400 as programmable workstations.

Keyboard Basics The information provided is for use on standard PC Keyboards using terminal emulator programs such as IBM's Client Access for Windows or MochaSoft for Windows. Key names are typical however the key may not perform as documented if programmed to do other functions. Keyboard

Initial Screen Entry A cursor will be positioned at the beginning of a field for input on the display screen. This is normally the first field where data is entered. Data typed on the keyboard is entered in the field where the cursor is located. Positioning Cursor Use mouse to position cursor and press left mouse button. Pressing arrow keys positions cursor left, right, up or down. Pressing backspace key moves cursor left one space and erases data. Use when cursor is immediately following the data to be corrected. Pressing tab key moves cursor to next enterable field. Pressing shift key then pressing Tab key moves cursor to previous enterable field. Pressing delete key caused the next character to be deleted and all characters to move left one space. Use when cursor is immediately prior to the mistake to be corrected. When keyboard locks up or other mistakes are made, try the ESC (or Attn), F1 (or Help) to clear the error.

AS/400 Help Press F1 key or the HELP key (depending on the terminal type) to access Help related to the screen displayed. Once Help System displayed, typical actions include: Press Page up or Page down keys to display additional information. Use mouse to position cursor on highlighted (yellow) words and double-click to display additional help Press F3 key to exit Help. Select function keys listed at the bottom of the screen for additional functions.

Screen Layout Screen Layouts: (top to bottom) Screen Name Selection List or tasks groupings that lead to more menus and/or functions that or accomplish the request. Selection or Command line for entering: Selection number from the displayed list Command Language (CL) Function Keys provide additional options and more flexibility in accessing the System. Screen Bottom Left displays messages or warnings, such as "Function Key not allowed".

Command Language (CL) CL commands are “short cuts” to either menus or AS/400 functions. They are entered from the Selection or Command line and executed when the ENTER key is pressed.

Example: "WRKSPLF" and Selection number “5” yields the same result.

Control Language Command names consist of Verb and Subject abbreviations.

Daily Operational Tasks New Setup Before working on the AS/400 you must be set up as a so the operating system recognizes you when you sign on. The AS/400 utilizes a profile to make certain determinations as to menus, security levels, program applications, etc. that you will have access to once you are signed on. Note: See DMS System Menu 110 Option 13 (Employee) for additional setup considerations. Steps: Type "WRKUSRPRF" on the command line and press the F4 (PROMPT) key or ENTER key OR From Main Menu, select Option 7 From Define or Change the System, select Option 3 From Security, select Option 6 From Work with Profiles, enter "*ALL" on the profile line to display all active profiles

From the Work with Profile screen you can create, copy, delete, display or work with objects by owner. The easiest and quickest way to create a profile is to use an existing that is already set up. To do this, simply find a who is currently performing similar tasks as the new . During initial installation process, DMS setup two (2) profiles as clones: Name = "" with Power rights Name = "Limited" with more restrictive rights You may want to setup additional clones, such as one for each department. For example Finance, Order Entry, etc. Using this method, security profiles can be defined in detail to reduce the customization need for each employee profile. To create a clone or new profile (using copy function): See Alternative Method. Enter "3" in the Option field beside that s name and press ENTER Key. Maintaining Profiles Many istrative processes require changes to Profiles. The most common change requests are as follows:

From Work with Profiles, enter "xxxx" (xxxx = profile name) on the profile line to display the specific 's profile.

For each of the situations above, enter "2" beside name and press enter key:

For resets, enter "*Same" in to reset to same as name

For profile disables, enter "*Disable" in Status

•

For other changes such as access rights, make changes as needed

To delete a profile, enter "4" beside name. Note: Profiles cannot be deleted if the owns objects, such as files, jobs, etc. These objects must be moved to another before deleting.

System Status The AS/400 provides quick access to the most important areas of the AS/400 system. From this display you can move to the areas that you will probably need to check most often in order to check printers, find jobs and look at spooled files, make changes or check the operational status of the system. Messages The AS/400 system uses messages extensively to convey information to s. These messages can be generated either from the AS/400 operating system or from s. The messages generated from the AS/400 are of two types: informational and warning. Some messages require a response in order for a further activity to take place. Most messages, however, are informational and do not require a response. Messages are sent to, received, stored and displayed from areas called message queues. There are four types of message queues. The type of message queue is important when displaying messages.

Remove Messages From the display message screen you have three options on how to remove messages from a message queue.

To remove a message, press F11 while the cursor is on the message you want removed.

To remove all messages, Press F13.

To remove all except unanswered messages, press F16, leaving messages that require a response so a further activity can occur.

Jobs Execution of routines (called programs) on the AS/400 are referred to as jobs. There are two types of jobs that run on the AS/400. 1.

Interactive - s enter data at a terminal and receive data back from the AS/400

2.

Batch - a function to be performed or a program to be run is put in line with other programs or functions to be done “in the background”.

s can perform other activities while another request is being executed. The AS/400 has separate areas (subsystems) within the operating system where these activities are performed. For example, interactive and batch jobs are run in the QINTER and QBATCH subsystems, respectively. Other subsystems may exist that are subsystems of either QINTER or QBATCH that handle the processing of jobs. For example, the DMS D/E application has a subsystem named DMSDOC. Jobs can be further classified as:

Submitted jobs are submitted and waiting for the AS/400 to allot time to start processing

•

Active jobs are executing routines

There are two ways to check jobs to determine if they are running or waiting to be run:

Job Queues The operating system decides how much time a job requires to run efficiently. This is accomplished using job queues. A job queue is part of or attached to a subsystem. The AS/400 assigns a job to a job queue before the job starts to run. There may be many jobs running in several job queues at the same time but in reality only a small piece of each program is being worked on for a brief period time. Because of the processing speed of the AS/400 it appears to the that the programs are running at the same time. The job queue allocates the jobs under its control until the job has been completed. The AS/400 gives some job queues a higher priority than other job queues. The QINTER job queue that handles interactive jobs has a higher priority than other job queues such as QBATCH that handles batch jobs enabling interactive jobs to completed more quickly. In some instances it may be necessary for the to change the way jobs are being processed. To do this you work with job queues. Warning: Exercise extreme care when making changes to job queues. Changes directly affect system processing and mistakes can lead to disastrous results. Steps: 1.

Output Queues When the AS/400 has completed processing a job, the results or output of the job are stored in areas known as output queues. An output queue can be a device such as a printer. All jobs that run on an AS/400 have an output queue assigned. Warning: Exercise extreme care when making changes to output queues. Changes directly impact the availability of processing output and mistakes can lead to disastrous results. Steps: 1.

Spooled Files Spooled files are the internal “output” resulting from programs that run on the AS/400. The system maintains these files and the AS/400 generates the “hard copy” output that you receive on your printer. Spooled files are generated by:

•

Application programs

•

interface activity on the AS/400 i.e. running queries,

•

AS/400 operating system, i.e. job logs that tell what activities have taken place during a ’s session.

The Work With Spooled Files screen provides a list of spooled files on the system. You can find files for another , yourself, or for all s on the system. Steps: 1.

Type "WRKSPLF *ALL" on the command line and press the F4 (Prompt) key or Enter Key. For current , enter "WRKSPLF" or for a specific enter "WRKSPLF" and "'s Sign-on ID". OR

If you place more than one number in the entry fields, the specified functions are performed on the files in the order in which the files are displayed. If you press the ENTER key from this display without typing any other data, you are returned to the previous menu or display. The options you can select are:

Deletes the spooled file from the system. When you choose this option the Confirm Delete of Spooled Files prompt is displayed. You can either accept or decline deletion. If you accept the spooled file is deleted permanently from the system.

Releases the spooled file from hold status.

Messages

Displays messages related to the printing of the spooled file.

Attributes

Displays the attributes of the spooled file to the screen.

Enter F11 to obtain more information (3 different views of the same file).

The column headers describe the following: Heading

The file name that was specified by the program when the file was created, or the device file

The name of the who owns the spooled file.

Device or Queue

If a printer was specified for this spooled file this is the name of the printer. It is also the name of the output queue that contains the file.

Status

Shows the status of the file. There are several statuses such as ready, open, etc. A spooled file can have a status with an * in front which indicates a change to the file as a result of taking an option.

Total Pages

The total number of pages or records in the spooled file.

Current Page

Shows page number currently being printed.

Two sessions on a Workstation The AS/400 allows two sessions at the same time from one workstation address. All functions can be performed in both sessions. Use two sessions when 2 or more different operations are performed on the same workstation, such as order entry and receiving. For more than two sessions, see Additional Instructions. Warning: Use this function only when operationally required. It is easy to confuse which session you are in at any given time. Steps: 1.

Establish first session as normal through standard sign on process.

2.

“Toggle” out of that session in order to get to another sign on screen. Note: The specific key combinations used to “toggle” will vary according to workstation type or emulation package used. Key combinations mean pressing two keys at the same time. Some key combinations are ALT & SYSRQ, ALT & ESC, SHIFT & ESC, SHIFT & ATTN. Reference the display manual for specific key combinations.

A dotted line appears at the bottom of the screen below the function keys and the cursor is at the start of the dotted line. Type 1 press ENTER.

At the new sign on screen, repeat sign on process.

To return to the original session "toggle" using the identified key combination.

It is through the tape device that you save and restore new programs and updates as well as archived data. To your tape device is connected to the system and is operational you need to check its status. The following process shows the name of the tape device and it operational status. You have the option to vary on or off the device, work with any jobs on the device or display descriptions of the jobs. Steps: 1.

Press the blue tape door release button to pop open the tape door.

Slide the tape vertically into the drive as far as you can by hand until it stops. DO NOT FORCE THE TAPE ALL THE WAY IN.

Close the tape door until it latches which will slide the tape the rest of the way into the drive. The blue tape door release button will pop back out.

You are now ready to begin tape operations

The PC commands are translated into commands that the AS/400 recognizes and responds to. You have to install hardware and software to make this work. Electronic Customer (ECS) The AS/400 provides the capability of electronic customer . This feature enables interaction with systems at IBM and DMS Systems Corp. for software updates and upgrades as well as provide remote when circumstances dictate. DMS Systems Corp. uses a program called Bug Busters to enable personnel to sign onto your system remotely and work as if they were located at your place of business. This program is initially set up at system installation and normally will not be changed unless advised by DMS Systems. IBM uses electronic customer to distribute system upgrades and updates directly to your AS/400 upon request from you.

System Backup and Cleanup System Backup Backing up data and system files on the AS/400 is the most important function executed on a regular basis. A backup plan must be established before loading production data. The initial full system backup is created when the AS/400 is installed and DMS systems are loaded. Daily backups are initiated at entry of data through the Menu 110 framework. Backups will not start if there are any active jobs running. s are forced off system before a backup starts without a warning message. While messages should be checked periodically during the day, they must be checked before start of business each day to the backup completed successfully. A common failure messages occurs when a tape drive needs to be cleaned. See instructions for Displaying Messages in Messages section. Insert tape labeled "Clean Cartridge" into tape drive to clean the drive. Restart job when cleaning is complete. Included in this process are:

IBM Version Releases IBM issues new releases of its OS/400 operating system, program products and licensed internal code. New releases are called versions and will be handled through DMS Corp. DMS orders the new version releases for you. There is generally no charge except for media (tape or CD-ROM) for these version releases. You are responsible for loading these onto your system. Once they are ed to the AS/400 they must be installed. You can view licensed programs and operating system versions running on your machine. The Install Licensed Programs screen is helpful in determining if the latest releases are installed. Steps:

Scheduled Maintenance Powering the System On When you start the AS/400 (turn the power on), an IPL (Initial Program Load) is executed for the system to reset and recognize changes to certain system characteristics. There are four situations that typically require an IPL:

Starting normal operations

•

Starting a remote system

•

Changing configuration options

•

Recovering after a power failure

The IPL system default from IBM is unattended (normal). It is executed automatically after the power is turned on and the Sign On display is shown on all available display stations. This documentation addresses only the unattended IPL. Warning: Due to the problems that can occur if an IPL is not completed successfully, s must call DMS prior to re-starting the AS/400.

Before Powering on the System: 1.

Turn on the power of display stations, printers, tape devices, disk devices and controllers used.

2.

Make sure the mode is set to Normal.

•

Press the right or left select push buttons (up and down arrows located above) until 02 is displayed in the Function/Data display box.

•

Press the blue ENTER push button located to the right of the select buttons to accept the 02.

•

Press the right or left select push buttons until 02 BN is displayed in the Function/Data display box.

•

Press the blue ENTER push button to accept the 02 BN.

•

Press the right or left select push buttons until 01 BN is displayed in the Function/Data display box.

•

Press the blue ENTER push button to accept the 01 BN.

To Power on the System: 1.

Press the Power On/Off button (the large square white button on the AS/400 U unit) to start the system. In normal start up mode a series of numbers will be displayed and will change frequently in the Function/Data display box. If these numbers do not display or fail to change or the system attention light comes on and remains lit an error condition has been encountered.

AS/400 Guide NOTE: It may take more than 1 hour for the system to completely power up under normal circumstances depending on such factors as your system model and configuration. This is normal. If the system has to be restarted after a hard shut down, for example, a power failure, it may take much longer. You are allowed to sign on to the system before an IPL has finished, but some functions may not be available until the IPL has completed.

Powering the System Off WARNING: You can stop the system using the Power On/Off button (the large square white button on the AS/400 U unit) if you are in the MANUAL MODE, however, this is NOT RECOMMENDED because of the errors that may occur with your data files. A schedule that automatically powers your system on and off can be setup. You can determine the time of day you want the system powered on and off and specify special circumstances that change that normal daily schedule, such as a holiday or special closing. This requires setting certain system values.

Before you stop the system Make sure all s are signed off the system and all batch jobs are finished: 1.

Send a message that interrupts all s signed on the system telling them to sign off.

Enter "SNDBRKMSG" on command line and press ENTER key

Type in message telling s to sign off the system for a power down.

When everyone is signed off the system, the display will show only your job with status = run. To sign someone off the system, place a 4 in front of the and press the ENTER key.

Press the F5 (Refresh) to redisplay to make sure your job is the only active job.

Check the status of any batch jobs that might be affected if the system is powered down.

Type WRKACTJOB on the command line, press ENTER key. NOTE: If the Work with Jobs display is shown, you need to switch to basic assistance level (1) using F21 (Select assistance level).

•

Press F14 (Select other jobs) on the Work with Jobs display.

•

Type "*ALL" in the field.

•

In the vertically displayed options type an "N" in every field except the Message waiting, Running, and Running job held fields. The Work with Jobs display is shown again with the batch jobs listed.

If any job queues have jobs waiting to run, press F22 (Work with Job queues) to see the Work with Job Queues display.

Hold any job queues that have jobs waiting to run on the Work with Job queues display. NOTE: You must release these job queues when the system is restarted.

Make sure there are no tapes in any of the tape drives and no disks in any of the disk drives.

Select option 3 (Power off the system immediately) if you want to keep the power off until the next time the system is scheduled to power on or it is done manually.

System Cleanup In order to keep the AS/400 functioning as efficiently as possible it is necessary to periodically clean up the system to remove any unnecessary or unneeded messages and other types of logs. Tape Drive Tape drives must be cleaned on regular intervals to ensure backups and the nightly job schedule complete successfully. A drive that needs to be cleaned will stop the job schedule from completion and limit business as usual the next day until the drive is cleaned and jobs finished. IBM Program Temporary Fixes IBM issues PTFs (Program Temporary Fixes) to update its OS/400 operating system, program products and licensed internal code until new release versions are issued. Warning: You are not notified by either IBM or DMS Corp. when PTFs are available. It is your responsibility to order these PTFs directly from IBM. It is recommended that you order PTFs every 6 months to ensure your operating system has the latest changes. Steps: To access the Program Temporary Fix screen: 1.

Ordering PTFs Before ordering, IBM to obtain the CUMULATIVE PTF PACKAGE number for your OS/400 version. A cumulative package includes all PTFs issued from the version release date through the date of order. It ensures all the current fixes are delivered for applying to the OS/400 operating system. Each PTF is assigned a generic ID number. The format is SF99VRM where V=OS/400 version, R=OS/400 release number and M=modification number ex. SF99V3R1M0. Steps: To order a PTF: 1.

From Program Temporary Fix, select Option 6

2.

Enter a PTF identifier (required to proceed).

3.

At the end of the ordering screens, you will be prompted to your company information such as address, phone number, name etc. When all the request information has been entered press the ENTER key.

4.

The order request is sent to IBM through ECS (Electronic Customer ).

5.

Upon receipt IBM sends the requested PTFs back either through ECS or on media (tape or CD-ROM) (for large changes in of data)

Loading PTFs Once you have been notified either through a message to the system operator that the fixes have been received or a delivery from IBM you must load the PTFs onto your system. Steps: 1.

Applying PTFs Once you have loaded the fixes that have been received you must then apply the PTFs onto your system. Steps: 1.

From Program Temporary Fix, select Option 2.

Once the PTFs are applied, you must IPL (Initial Program Loaded) the system, enabling the changes to take affect and become “permanent” until the next release version is applied to the system.

How to email documents from your DMS iSeries. Requirements:

PC with Microsoft Outlook, IBM Client Access, and an Internet connection

Exporting AS/400 printer output to your PC: You can easily export an AS/400 printer output file to your PC file system where you can work with it using various PC Office tools – Excel, Word, Outlook Example - you can attach an AS/400 printer output file for an invoice, Purchase Order, Report, Query, etc. to an e-mail.

(Printer output files are converted to ASCII text files when they are exported.)

To export an iSeries printer output file to your PC, follow these easy steps: •

Double click the iSeries Operations Navigator icon located on your Desktop.

•

Expand System under My Connections (left ) by clicking the "+" sign or double-click My Connections and then select your connection option. (If you have not already established a connection from your PC to the iSeries (AS/400), you will be presented with a “Sign-on to iSeries” window where you will be expected to enter your iSeries ID and .)

You may get a Windows sign-on screen that will need your ID and .

•

Expand Basic Operations by clicking the "+" sign.

•

Click your desired Printer output option.

•

(A list of printer output files will appear in the right of your screen.) Using the drag-and-drop feature, drag the desired printer output file to your desktop. (You can also right-click your desired printer output file and select Copy and Paste the file to the location of your choice.)

Once the file is located on the PC desktop, follow the normal operations for attaching a file to your email, printing the file or etc.

How to create a Desktop Icon for Qwik-Order The best way to create a Qwik-Order desktop for your customer’s to easily access your QwikOrder Website Portal is as follows:

1.

Send them an email with a link to your Qwik-Order website. (For Example: http://66.179.164.71:?? DMS for the complete link number)

2.

Clink on the link above and the Qwik-Order website comes up in their Internet Explorer browser.

3.

Clink on ‘File’ on the menu bar at the top left of the screen.

4.

Click on ‘Send’ and then select ‘Shortcut to Desktop’

This will place a Qwik-Order icon shortcut on their desktop. After clicking on it to start Qwik-Order, the icon will change to your customer’s Qwik-Order icon designed for you so that it will stand out on their desktop and be easy to find.
